1. Professional Standards

1.1. As a registered member of the Nederlands Instituut van Psychologen (NIP), Hajra Kalam adheres to the NIP Code of Ethics. This ensures that all treatment is carried out in a professional and ethically responsible manner.

2. Confidentiality and Privacy

2.1. All client information is handled with strict confidentiality and will not be disclosed to third parties, except in specific situations:

- when legally required by law or court order;

- if there is an immediate risk of harm to the client or others.

2.2. In line with Dutch regulations, treatment records are securely stored for 15 years following the conclusion of treatment. These records remain confidential and are only shared if legally mandated. Records are encrypted and stored safely to protect client privacy.

2.3. Clients have the right to view their own treatment records upon request.

2.4. Personal information is collected only when relevant to treatment. Any information from sources other than the client is gathered only with the client’s written consent and only when necessary.

2.5. Hajra Kalam complies fully with the General Data Protection Regulation (GDPR) regarding the processing and protection of client data.

2.6. Sessions are conducted virtually using secure, end-to-end encrypted video platforms (such as Zoom or Google Duo). These sessions are not to be recorded in any form, either audio or video.

2.7. The website www.hajrakalam.nl uses cookies for functional and analytical purposes only. These cookies help improve the site experience and gather anonymous usage data. No personally identifiable information, such as IP addresses, is collected via cookies.

3. Liability

3.1. Hajra Kalam supports clients in exploring and understanding their own decision-making processes. Advice is not given; instead, the focus is on helping clients reach their own conclusions. Clients are fully responsible for the decisions they make, and Hajra Kalam cannot be held liable for any outcomes of those decisions.

3.2. Liability is limited to direct damages and cannot exceed the total amount paid by the client for treatment. This does not apply in cases of intentional or gross negligence by Hajra Kalam.

3.3. Hajra Kalam is not liable for any harm caused to third parties as a result of a client’s decisions or actions.

4. Payment

4.1. Hajra Kalam operates as a private practitioner and does not work with insurance companies. Clients are responsible for paying their invoices in full. Depending on the policy, some international health insurances may offer (partial) reimbursement, but this is entirely the client’s responsibility. Dutch insurance providers do not cover any of these services.

4.2. Invoices are due within two weeks of issue. If payment is not made within this time, a reminder will be sent. If the invoice remains unpaid one week after the reminder, a 10% collection fee will be added, along with 2% statutory monthly interest until the full payment is received. Continued non-payment may result in further debt collection, with additional costs charged to the client.

4.3. Sessions may be rescheduled or canceled without charge if done more than 24 hours in advance. If canceled with less than 24 hours’ notice or missed entirely, the full session fee will still apply.

4.4. The current hourly rates are listed on the ‘services’ page of www.hajrakalam.nl and may be adjusted annually to reflect inflation and wage changes.

5. Complaints

5.1. If a client is dissatisfied or has concerns, they are encouraged to first raise the matter directly with Hajra Kalam, whether by email, phone, or during a session. If the issue is not resolved, the client may submit a formal complaint to the Supervisory Committee of the Nederlands Instituut van Psychologen (NIP).

6. Governing Law

6.1. By beginning treatment with Hajra Kalam, clients agree to these terms and conditions. All agreements fall under Dutch law. If any disputes arise that cannot be resolved directly, they will be handled by a Dutch court.
